The solicitor's courier problem and why most services don't solve it

Most of a law firm's work now moves electronically. What still travels on paper is, almost by definition, the paperwork that matters most: the signed original, the executed deed, the will, the document a client has to sign in ink, the bundle that has to be somewhere by a set time.

That is the solicitor's courier problem. The volume is small, the stakes are high, and most courier services are built for the opposite, high volume, low consequence, and a proof of delivery that tells you a parcel arrived, not that it reached the right person.

Where it goes wrong

Signed for by whoever is at reception. A network courier's proof of delivery shows that someone took the envelope. For an original document, "someone at reception" is exactly where things start to go missing, in a post tray, on the wrong desk, or in a pile that nobody owns.

A window, not a time. Same-day usually means a delivery window of several hours. A document that has to be in place before a completion, or with counsel before a meeting, needs a time. A window is not a time.

The return leg. Many document runs are not one-way. The client signs, the original comes back. Booked as two separate jobs, often with two different drivers, the firm ends up managing the gap in the middle, chasing the client, rebooking the collection, and hoping the signed copy makes it back the same day.

Nobody to call. When the recipient is not there, or the client has questions before signing, the firm needs to speak to the person on the doorstep, not raise a ticket with a call centre.

How I handle legal work

I take every booking and carry every document myself. There is no driver pool and no hand-off between collection and delivery, so the person you brief is the person who delivers.

Named handover only. I hand over to the person you name, or to someone you have authorised in advance, and record who received it, when and where. If they are not there, I call you before doing anything else. Documents are never left at a door, in a post room or with whoever happens to be passing.

A time, not a window. I collect when the document is ready and drive directly to the recipient. One job in the vehicle, yours.

Collection, signature and return as one errand. For firms on a Partnership plan, Business Concierge covers the whole run: I collect the papers, wait while your client reads and signs, and bring the originals straight back to you. If a witness is needed, we agree beforehand who that will be. You brief one person once, and the job comes back complete.

Discretion as standard. DBS checked, with documents kept in my possession from collection to handover. What I carry and who I carry it for stays between us.

Completion days

Completion days bring the pressure together: keys moving from agent to buyer, documents that need to be in place before funds move, and several matters landing on the same Friday. For firms on a Partnership plan, Reserved Capacity books me exclusively for a half or full day, so the day's runs are covered without booking each one separately, and the day does not use your monthly allocation.

Probate

Probate brings its own run of tasks, and many of them are not deliveries at all: collecting keys and handing them to agents or valuers, gathering post from an empty property, retrieving documents from the house, and taking original papers and personal items to wherever they need to be kept. For firms on a Partnership plan, these run as Business Concierge, handled by the same person who carries your documents, to your instructions, with a record of every step.

How it is priced

One-off jobs run on the Standard plan: £45 per job, plus 95p a mile from collection to delivery and 80p a mile for my travel to you. There is no minimum mileage and no long-run supplement.

Firms with regular document work usually move to Partnership: £160 a month covers the base charge for four jobs (£40 each, against £45 on Standard), with mileage at the same rates added to the month-end invoice. Partnership also adds Business Concierge for collect-sign-return runs, Reserved Time Slots and Standing Arrangements. Reserved Capacity starts at £175 for a half day. CainDirect is not VAT registered, so there is no VAT to add.

Once I know your firm

The real value builds over time. Once I know your matters, your contacts, your clients' addresses and the way your partners like things handled, the document runs simply happen, that is what I mean by Operational Partner Services. Not a courier you call, but an arrangement that runs as an extension of your firm.

Documents, probate tasks and completion days,

handled by one trusted person who knows your firm. I work with a small number of firms by design, so if that would take some of the pressure off your team, call me and we'll talk it through.

Next week: What Business Concierge makes possible - the jobs that are not deliveries, but still need someone you trust.
