5 Our Legal Bases for Processing

Under UK GDPR, we must have a lawful basis for processing your personal data. We rely on the following bases:

Performance of a contract

The majority of our processing is necessary to fulfil the contract we have with you or to take steps at your request before entering into a contract. This includes all aspects of service delivery, job management, and invoicing.

Legitimate interests

We process some data where it is in our legitimate interests to do so and where those interests are not overridden by your rights. This includes maintaining client records, managing ongoing service arrangements, and improving our service. We have assessed that these interests are proportionate and do not place an undue burden on individuals' rights.

Legal obligation

We are required to retain certain records including financial records to comply with UK tax law and other legal obligations. Retention periods for legally required records are set by the relevant legislation (typically 6 years for financial records under HMRC requirements).

Consent

Where we rely on consent for example, for non-essential cookies on our website you have the right to withdraw that consent at any time. Withdrawal of consent does not affect the lawfulness of processing carried out before withdrawal.

Vital interests

In the limited circumstances where health logistics services involve the welfare of a patient or individual, we may process data on the basis of vital interests where no other lawful basis applies.
